The HR Assistant supports the HR department by handling personnel administration, contract management, absence tracking, and assisting with recruitment, expatriate settlement, and HR projects. The role also includes responsibilities in HSE (Health, Safety, and Environment) activities, office management, and supporting HR-related processes and procedures.

Description

  • Assist the Head of Personnel, HSE, and General Services with various HR processes
  • Manage personnel administration, including invoices, reimbursements, contracts, letters, and forms
  • Monitor contract expirations and assist in the tendering process for contract renewals/new contracts
  • Update and manage expenses for the Work-related Costs Scheme
  • Perform absence registration (maternity, unpaid leave, vacation days, sickness, mission)
  • Maintain HR administration and personnel databases (both digital and physical files)
  • Support expatriates with settlement processes (registration, 30% ruling, housing, benefits, etc.)
  • Assist in HR projects such as employee development, salary benchmarking, and procedure updates
  • Support expatriate income tax processes
  • Assist with recruitment activities, including invitations and scheduling
  • Archive and maintain digital HR documents
  • Support HSE activities, including updating documents and performing workplace assessments
  • Assist with HSE contract administration and monitor expiration dates
  • Organize health initiatives and assist with ARBO (working conditions) actions
  • Manage office supplies stock and assist with General Services contracts administration
  • Oversee the office's insurances portfolio and offsite storage management

Profile

  • MBO/MBO+ education with relevant experience in the HR field
  • Strong Dutch and English language skills (Italian is an advantage)
  • Proficient in Microsoft Office
  • Ability to handle confidential and sensitive information with discretion and accuracy
  • Service-focused, flexible, and proactive attitude
  • Excellent communication skills
  • Capable of managing multiple tasks efficiently
  • Available to work 39 hours per week
