Business Support Specialist 

Location: Amsterdam

Parttime/fulltime: 40 hours a week

What will you do as a Business Support Specialist?

As a Business Support Specialist you will advise and perform on organisational and administrative activities for the benefit of the department in order to enhance continuously the efficiency and effectiveness of the organisation.

Roles & Responsibilities: 

1.Roles
­Act as the primary support for the (Senior) Directors in the function/region, and occasionally to their teams, with various tasks and responsibilities. The ultimate goal is to enable (Senior) Directors and their teams to become self-managed as much as possible (nature of work).
­Collaborate closely within the team of business support specialists, following a standardized one-way of working, to deliver excellent business support.
­
2.Support (Senior) Directors - responsibilities(please note that these responsibilities and tasks may vary depending on the specific requirements of the business)
­Agenda Management: act as main point of contact for the internal/external meetings of the (Senior) Directors, proactive complex agenda management including preparing necessarymaterials.
­Event Management: planning and coordinating events (Global/Functional) in collaboration with relevant stakeholders, managing event logistics and budget, deliver part of the content that aligns with the event’s objectives.
­People Management: assistance with on- and offboarding processes.
­Travel Management: making all (complex) travel arrangements and creating detailed itineraries.
­Project Management: support with planning, execution and monitoring of various projects, coordinating project (administrative) activities and ensuring adherence to deadlines.
­Finance Management: provide assistance with the purchase order (PO) process and guide (Senior) Directors towards self-management within this process. 
 
3.Collaboration BSS Team “One-way of working” -  responsibilities
­Follow standardized business support practices, adherence to service levels and the Business Support principles, and address deviations to relevant stakeholders or the Senior Business Support Specialist.
­Ensure seamless task handovers among team members through high collaboration, reflecting the nature of the work and adhering to determined service levels.
­Advise and provide guidance to the business on efficient internal processes, compliance, and regulatory updates to drive improvements and support organizational growth.

- Workexperience:min.2yearsofexperienceisrequiredin a fast-paced, dynamic, and demanding international environment.

- ITSavvy:proficient in Microsoft Office applications (Excel, Word, PowerPoint, Teams) with a strong inclination towards staying updated on IT innovations, particularly collaboration tools, and actively promoting new digital work methods.

- Otherskills:basicreportingskills.

- Languages:fluent in English(bothspeakingand writing).

- Communicationskills:strong communication skills with a proactive attitude, actively connecting with colleagues, proposing solutions to administrative issues, and ensuring (Senior) Directors are informed proactively about important topics.

- Other skills:build collaborative relationships within both internal and external teams. Demonstrate flexibility in work arrangements, effectively plan operations, and establish priorities. Coordinate activities efficiently and maintain a customer-focused approach. Strive for continuous improvement in all aspects.
