Innatera is looking for an Office Assistant for its location in Rijswijk. For this role, the candidate is generally expected to be on-site during office hours.

We will trust you with:
  • Facilities maintenance: Be responsible, along with the office manager, for keeping the office and kitchen area in tidy condition.
  • Office supplies: Order and stock office supplies, snacks, and refreshments, process deliveries, incoming and outgoing mail, and packages.
  • Email scanning: Scan the common email inbox for important inbound emails and notify relevant persons within the company.
  • Welcoming visitors: Be the first point of contact when visitors arrive at the office, provide them with refreshments, and show them to their respective meeting rooms.
  • General administration tasks: Draft letters, e-mails, respond to the telephone calls coming into the office, schedule appointments, and support the team in various tasks
  • Documentation management: Scan and archive documentation such as letters, invoices, and receipts, and process expense reimbursements
  • Event logistics and visitors: Make arrangements for office events - supplies, orders for food & beverage, external reservations, and organize transport for visitors.
  • Travel arrangements: Organize travel and other reservations for business travels and event participants.
  • Be able to take over some of the tasks of the office manager in case of absence/holidays and vice versa.


Gevraagd

Your experience includes:
  • Experience in people-oriented positions, e.g., receptionist, administrator, or assistant.
  • Able to work confidently in English, with clear communication skills in both speaking and writing.
  • Comfortable speaking Dutch for daily conversations, including answering phone calls and welcoming visitors, suppliers, and service providers.
  • Basic computer skills, and familiar with MS Office (Word, Excel, PowerPoint).

  • Excellent organizational skills, with great attention to detail, a sense of creativity, and a people-oriented mindset,
  • Able to switch quickly and without problems between your different activities,
  • Good problem-solving skills with the ability to work independently as well as in close collaboration with the team,
  • Great communication and customer service skills: you know how to deal with both internal and external stakeholders with professionalism and kindness.
