The Administrative Assistant for Supply Chain and Office Management provides key administrative support to the Sales and Supply Chain teams, ensuring smooth operations through tasks such as managing communications, processing orders, and assisting with data and sales reporting. This role also involves general office duties like, travel bookings, and maintaining office supplies, while offering flexible support across the team when needed.
Description
Administrative Support: Provide assistance to the Sales and Supply Chain teams, including managing communications with customers, suppliers, freight forwarders, and 3rd party warehousing to ensure smooth order processing, sales forecasts, and complaint resolutions.
Sales Support: Help Sales Managers with tasks such as handling data, answering queries, preparing monthly sales reports, managing stock levels, and organizing sample distribution lists.
General Office Duties: Perform reception tasks, manage hotel and travel bookings, support marketing and publicity efforts, maintain office supplies, arrange visitor lunches, and handle mail and parcel distribution.
Team Support & Coverage: Provide backup and assistance to colleagues in the Sales and Supply Chain teams when needed.
Coordination: Ensure high levels of customer service and effective coordination across various functions to meet business objectives and targets.
Profile
- Is highly organized and detail-oriented, with the ability to multitask effectively in a fast-paced, multicultural environment.
- Has excellent communication skills in English (Dutch or other EU languages are a plus).
- Possesses experience with administrative processes and ERP systems.
- Is proactive, with the ability to prioritize and manage multiple tasks simultaneously.
- Has experience in an administrative role within an international business setting, preferably in logistics or supply chain management.
- Demonstrates flexibility, works well in a team, and has a strong attention to detail.
