This role supports an international business services firm by providing high-level administrative, organizational, and operational assistance to senior executives. It involves managing daily business and personal tasks, coordinating office functions, and ensuring smooth communication across global offices.

Description

  • Handling varied one-off tasks and special assignments
  • Day-to-day office assistance with administrative and operational duties
  • Managing documentation and tracking office expenditures
  • Overseeing supply levels and placing orders as needed
  • Setting up and maintaining organizational systems, workspace layouts, and equipment needs
  • Serving as point of contact for property-related administrative issues
  • Managing upkeep, repairs, and overall office functionality
  • Maintaining a tidy and professional office environment
  • Organizing calendars, scheduling meetings, and managing appointments
  • Directing incoming calls and setting up remote communications
  • Managing mail, emails, and preparation of business documents
  • Arranging flights, lodging, and travel logistics for executives, staff, and visiting colleagues
  • Facilitating communication and coordination with administrative staff in other locations
  • Support to senior leadership on both persona and corporatel matter

Profile

  • At least 3 years secretarial / administrative work experience
  • Advanced skills in Microsoft Professional (Outlook, Excel, Word, PowerPoint, Visio, etc.)
  • Excellent written and verbal communication skills, in both Russian and English
  • Knowledge of Dutch is an advantage
  • Proactive and solution oriented attitude
  • Strong organisational skills, attention to details and ability to balance multiple priorities
