For a client based in Amsterdam we are looking for an Executive Assistant who thrives in an international environment, working closely with European management teams and Morgan Stanley colleagues in London and New York. This role also covers facility management, hospitality, and a broad range of administrative and operational support responsibilities.
Description
- Provide day-to-day assistance to the Asset Management team, acting as the first point of contact for colleagues and external stakeholders.
- Offer hospitality support for meetings and events, ensuring smooth logistics and professional representation.
- Assist with onboarding and offboarding processes in collaboration with HR.
- Coordinate and prioritize team calendars, scheduling meetings, travel, and appointments.
- Manage email correspondence, including drafting responses, organizing messages, and handling follow-ups.
- Serve as liaison between the team and internal/external parties.
- Prepare, review, and process expense claims for the team.
- Manage credit card declarations and monitor expense submissions.
- Organize and facilitate meetings, preparing agendas, recording minutes, and tracking action items.
- Coordinate business events such as conferences, client dinners, and international visits.
- Provide administrative support for ongoing projects and special initiatives.
- Conduct research, gather data, and prepare reports as required.
- Manage ad-hoc requests to ensure smooth operations.
- Oversee office facilities, including equipment, supplies, and workspace capacity.
- Handle service arrangements such as catering, couriers, and transport when needed.
- Provide basic IT support and coordinate with suppliers for technical assistance.
- Support document handling, including signatures and secure courier shipments.
Profile
- At least 5-8 years of relevant experience as a Personal or Executive Assistant in an international business setting.
- Background as an Executive Assistant in a partnership-based organization (such as Private Equity, Consulting, or a Law firm) is considered an asset.
- Excellent command of both Dutch and English, spoken and written.
- Bachelor's degree or higher in Office Management, Facility Management, or another related discipline.
- Strong proficiency in Microsoft Office applications (Word, Excel, PowerPoint, etc.).
- Goal-oriented team player with a strong sense of integrity.
- Proactive, confident, and adaptable in different situations.
- Well-organized and efficient at handling multiple tasks while meeting deadlines. Detail-focused but able to set clear priorities.
- Continuously seeking opportunities for improvement and innovation.
