OrangeBuddies Media is an internationally operating online media company, specializing in (white-label) cashback platforms and loyalty concepts. Our mission is to provide added value for both consumers and advertisers by supporting smarter online shopping experiences. As experts in Affiliate Marketing, we use precise targeting to help advertisers achieve their marketing goals.
We are currently looking for a proactive and detail-oriented Cashback Operations & Invoicing Coordinator to join our team in Harderwijk. We need a full-time team member to ensure the daily processing of our Transaction Panel continues smoothly across 10+ brands in 13 countries.
In this key role, you will operate at the heart of our online cashback engine, collaborating with colleagues across Content, IT, Fraud, and Finance departments based in Harderwijk, Amsterdam, Barcelona, and various remote locations.

What We’re Looking For:
We’re looking for someone who:

Works proactively, independently, and with structure;
Enjoys collaborating with different departments (Finance, IT, Content, Customer Service);
Is fluent in Dutch and English (French is a plus);
Is available full-time (40 hours) and enjoys working from our Harderwijk office;
Has experience with financial processes or administration (preferred but not required).

Aanbod

What You’ll Do:
🧾 Cashback Transactions & Data Management

Review and verify incoming cashback transactions, working closely with our Content team and international affiliate networks;
Import and automate transaction data from partners without API integrations (via .csv files).

💳 Payouts & Subscriptions

Approve payout requests from users, including fraud detection;
Manage annual subscriptions: invoicing, crediting cancellations (using HubSpot, Payt, and Twinfield);
Support Customer Service with payment and cancellation queries.

🛠️ Process Improvement & System Optimization

Identify bottlenecks in workflows and provide input to our IT team to improve and automate systems.

💼 Accounts Receivable

Work with the Finance team to follow up on outstanding invoices;
Coordinate with collection agencies for unpaid subscriptions.
