Project Management Office Responsibilities

Program Administration

•    Maintain and update program plans, schedules, and documentation.

•    Ensure documentation is stored and version-controlled correctly.

•    Support the creation and formatting of reports, slide decks, and briefings.

Governance and Compliance Support

•    Track adherence to program/project governance standards, processes, and templates.

•    Schedule and coordinate governance meetings:

o    SteerCo

o    Program mngt team

o    Project team meetings

o    Sounding board

•    Prepare agendas (chasing status update input), attend, process minutes, and track action items.

Support in reporting and MI (Management Information)

•    Compile regular status reports, dashboards, planning outlines overviews

•    Track progress against milestones, deliverables, risks, and issues.

•    Identify deviations or exceptions in line with escalation paths.

Financial Tracking and Resource Management

•    Assist in tracking project savings(!), budgets, forecasts, and actuals.

•    Help monitor resource allocations and utilisation.

•    Support time tracking and cost reporting processes.

Support in Risk & Issue Management

•    Maintain the RAID log (Risks, Assumptions, Issues, Dependencies).

•    Support project teams in updating and managing risks and issues.

•    Track change requests and assist with impact assessments.

Assurance and Quality Support

•    Perform quality checks on project artefacts (e.g. business cases, plans).

•    Ensure project documentation aligns with agreed standards and lifecycle stages.

Other

•    Onboarding PM’s: introduction to the program/key stakeholders/fellow projectmanagers etc.

•    Organise workshops, team meetings, and other project events.

•    Administer project management tools (e.g. MS Project, Teams/planboard).

•    Maintain PMO templates and ensure consistent use across projects.

What we are looking for:

Relevant post-secondary vocational education. Your command of English is strong, both verbally and written. In addition, the following qualifications are important for this position:

•    You are able to organize and prioritize work.

•    You constantly strive to improve processes, systems, documentation, etc.

•    You are precise and consistent in performing administrative tasks

•    You are experienced in using Microsoft Office 365 tooling.

•    You are result-oriented and capable of both working independently and in a team set up.

•    You preferably have experience in working in an international cross-functional organisation.

Your personal characteristics:

•    Good communication skills, both verbal and written.

•    Ability to prioritize and focus.

•    A proactive and hands-on attitude

•    Open-minded and not afraid of picking up less challenging tasks.

•    Good sense of humour.

•    Willingness to travel (on incidental basis).

High visibility Program, high pressure. To create informed reporting for multiple stakeholders is key in relatively low mature IT/OT/Digital (project support) environment.


De eisen
First priority is to set up PMO supporting administrative activities in a structured and standardised way across the Program to get the proper insights needed.
Experience with Microsoft Office 365 tools (such as MS Project, Teams, Planboard, co pilot).
Accuracy and consistency in administrative tasks.
Ability to organise and prioritise work.
Proactive attitude, need to chase for content/updates
education HBO+ and relevant PMO support education (like IPMA D Project Management Office (PMO) – ICM and/or PRINCE2 Foundation, IPMA D, AgilePM Foundation)
