Volledige vacaturetekst

In this role, you represent the organization towards its customers throughout the entire B2B Order-to-Cash process — from the very first order entry to the final delivery and everything in between. You will act as the main point of contact for customers, ensuring smooth, timely, and professional order handling.

The Order to Cash team receives and manages orders from companies such as hospitals, as well as from internal affiliates worldwide. This position focuses primarily on customers in Europe and the Middle East. Orders are received via email or the internal portal and processed into SAP as open orders. These are often large-scale requests — for example, hospitals purchasing injectors, contrast media, or pumps for medical imaging systems.

As a true spider in the web, you coordinate closely with multiple departments to ensure every order is handled accurately and efficiently. You work with Supply Chain to check product availability, Transportation to ensure timely delivery, and various internal stakeholders across logistics, regulatory, and finance. Throughout the process, you maintain oversight, take a proactive approach by updating customers and following up internally, and make sure every step runs smoothly.
The ideal candidate has a good understanding of export regulations across different countries, demonstrates ownership, and handles customer inquiries or complaints accurately and professionally.

Key Tasks:

  1. Provide excellent customer support by handling queries such as product and service information, order status, or general questions. Act as the main contact for customer communication.
  2. Manage the full Order-to-Cash and reverse logistics process, including order entry, invoicing, coordination with credit management, delivery planning, and export documentation.
  3. Support Field Service administration by processing service notifications, warranty claims, and installation reports.
  4. Assist Sales in preparing quotations or tender responses under supervision.
  5. Handle internal and external customer complaints according to defined procedures.
  6. Collaborate with global regulatory and supply chain functions to execute export orders from the US site when needed.
  7. Monitor daily reports on open orders and billing to minimize financial risks, ensuring timely revenue recognition in cooperation with finance and accounting.
  8. Ensure compliance with internal control standards (ICS) and SOPs for Order-to-Cash and reverse logistics.

Your profile:

  • Bachelor’s degree in a business-related field or comparable professional experience.
  • Suitable for recent graduates eager to take their first step in an international corporate environment.
  • Customer-focused, service-minded, and an excellent communicator.
  • Flexible, organized, and capable of multitasking under pressure.
  • Able to work both independently and collaboratively in a team setting.
  • Fluent in English, Dutch, and Spanish (required).
  • Basic knowledge of marketing, sales, and the medical environment is a plus.
  • Skilled in MS Office; experience with SAP is preferred.
  • Knowledge of international export regulations is a strong advantage.

Working model:

This is a hybrid position, requiring a minimum of two days per week in the office — with Thursday as the fixed team day, when all colleagues are present.
