For the EU Agency, we are looking for a Procurement Assistant to support the Procurement Office!

Wat ga je doen?

Role summary:

The position provides administrative and coordination support to the Procurement Office, contributing to the effective management of procedures, processes, and daily operations.

The role will be carried out under the supervision and guidance of a Temporary Agent (AD) and does not include responsibilities related to staff or budget management.

Standard role duties & responsibilities:

  • Support the coordination of the organisation’s participation in inter-institutional procedures by ensuring smooth internal communication, compiling input from various units, securing approvals, and maintaining internal records.
  • Assist in the ordering process (goods/services) by collecting technical input, preparing request-for-offer forms, coordinating approvals, and supporting contract preparation.
  • Provide support in asset sales processes by preparing necessary documentation, coordinating approvals, and assisting in bid assessment and contract finalisation.
  • Contribute to daily operational tasks and ongoing projects, including document management, archiving, updating databases, organising meetings, proofreading, and managing approval workflows.
  • Support recurring administrative duties such as maintaining shared mailboxes, updating files, organising regular meetings, and preparing standard correspondence.
  • Perform any other duties relevant to the area of competence.
Wat bieden wij?

A fulltime, temporary 6 months contract from 10-11-2025 until 9-05-2026 (with possible extension of 6 months).

Salary range:

  • 4,812.17 gross per month/27,76 gross per hour (5 years of experience)
  • 5,444.73 gross per month /31,41 gross per hour (5 - 17 years of experience)
  • 6,970.17 gross per month /40,21 gross per hour (17 years of experience or more)

Wat vragen wij?

Education

  • A level of education corresponding to completed university studies attested by a diploma (minimum 3 years).

OR

Professional training of an equivalent level, complemented by relevant professional experience as follows:

  • 6 months–1 year training → +3 years experience
  • 1–2 years training → +2 years experience
  • More than 2 years training → +1 year experience

Experience

  • Preferably 3 years of relevant work experience, including at least 1 year of recent experience related to public procurement.
  • Experience in environments requiring a high level of discretion and confidentiality.
  • Experience working in an international, multidisciplinary work environment.

Skills & Knowledge

  • Good understanding of EU public procurement rules.
  • Excellent command of English (C1 level or higher).
  • Strong drafting, administrative, and organisational skills.
  • Eye for detail and accuracy, with the ability to meet tight deadlines.
  • Analytical and problem-solving mindset.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and general IT tools.
  • High level of commitment, flexibility, and service orientation.
  • Excellent interpersonal skills and the ability to liaise effectively with internal and external stakeholders.
  • Capacity to work independently, under pressure, and as part of a team.
  • Discretion and confidentiality are essential.
