For the EU Agency, we are looking for a Data Protection Assistant to support the Data Protection Function (DPF) with essential administrative and coordination tasks!

What are you going to do?

Role summary:

The purpose of this position is to provide administrative support to the Data Protection Function (DPF), requiring a solid understanding of data protection principles and practices.

The duties of the role are performed under the supervision, guidance, and support of a Temporary Agent (AD).

This position does not involve the management or supervision of staff or budgetary resources.

Standard role duties & responsibilities:

  • Keep track of pending files and monitor outstanding tasks, deadlines, and requests;
  • Provide administrative support to staff members handling Data Subject Access Requests (DSARs) and Data Protection Impact Assessments (DPIAs) by monitoring and coordinating related mailboxes;
  • Maintain up-to-date records of all DSARs, including tracking responses and actions taken;
  • Assist in preparing regular reports on DSARs and DPIA activities for the DPF and senior management;
  • Assist in drafting and preparing training materials and internal communications related to DSARs and DPIAs;
  • Draft memos and correspondence, register and archive documents in the electronic document management system;
  • Support the preparation of meetings, including document preparation, file archiving, and taking minutes;
  • Perform any other duties within the scope of the role as required.
What do we offer?

A fulltime, temporary 6 months contract from 20-11-2025 until 19-05-2026 (with possible extension of 6 months).

Salary range:

  • 3759,07 gross per month/21,69 gross per hour (5 years of experience)
  • 4253,15 gross per month /24,54 gross per hour (5 - 15 years of experience)
  • 4812,16 gross per month /27,76 gross per hour (15 years of experience or more)

What do we ask?

Education

  • A level of education corresponding to completed university studies attested by a diploma (minimum 3 years).

OR

Professional training of an equivalent level, complemented by relevant professional experience as follows:

  • 6 months–1 year training → +3 years experience
  • 1–2 years training → +2 years experience
  • More than 2 years training → +1 year experience

Experience

  • Preferably 3 years of experience providing administrative support in public administration, with at least 1 year in the field of data protection;
  • Recent experience working in environments requiring a high level of discretion and confidentiality;
  • Experience in an international, multidisciplinary work environment.

Skills & Knowledge

  • Knowledge of data protection principles and regulations;
  • Excellent command of English (C1 level or higher) according to the Common European Framework of Reference for Languages;
  • Excellent drafting skills and attention to detail;
  • Ability to maintain accuracy under tight deadlines;
  • Strong analytical and problem-solving skills, including the ability to anticipate and resolve issues proactively;
  • Proficient user of Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and internet tools;
  • High level of professionalism, commitment, and flexibility;
  • Strong service orientation and organisational skills;
  • Ability to act with discretion and confidentiality;
  • Ability to work effectively under pressure, both independently and as part of a team;
  • Excellent interpersonal and communication skills, capable of liaising with internal and external stakeholders;
  • Ability to work effectively in an international and multicultural environment.
