For the EU Agency, we are looking for an Project Support Officer to support the Administrative Capabilities and Corporate Process Management Office!

What are you going to do?

Role summary:

The purpose of the post is to provide support across several areas including Project Management, Business Product Management and Change Management to the Administrative Capabilities and Corporate Process Management Office. The project is focused on supporting the transition to the new financial system through the rollout of the new Electronic Documents and Records Management solution (EDRM) to financial actors, enabling electronic records management and automated workflows, along with training on the new functionalities.

The duties of the role are performed under the supervision, including guidance and support, of a Temporary Agent (AD). The role does not imply managing or supervising human and budgetary resources. 

Standard role duties & responsibilities:

  • Support Project Management throughout the planning and implementation phases by assisting with project definition, resource allocation, setting deliverables, establishing timelines and milestones, as well as managing day-to-day coordination, facilitating monthly planning and review cycles, and preparing of progress reports for stakeholders and the project board;
  • Support Business Product Management in analyse current Finance processes to identify process changes for the transition to the new financial system, describing future processes, contributing to requirements for electronic workflows, reviewing technical designs for workflows, drafting test cases;
  • Support Change Management related activities in the area of stakeholder management and communication by acting as main contact point, creating and maintaining a stakeholder map, identifying user groups and communication needs, as well as developing a communication plan, and preparing and delivering communication materials and activities;
  • Support Change Management related activities in the area of training preparation and delivery by developing, organising and coordinating the delivery of training programmes for different user types, as well as defining training modules for elearning, classroom training and walk-in sessions;
  • Perform any other duties in the area of competence. 
What do we offer?

A fulltime, temporary 6 months contract from 1-12-2025 until 30-06-2026 (with possible extension of 6 months).

Salary range:

  • 4,812.17 gross per month/27,76 gross per hour (5 years of experience)
  • 5,444.73 gross per month /31,41 gross per hour (5 - 17 years of experience)
  • 6,970.17 gross per month /40,21 gross per hour (17 years of experience or more)

What do we ask?

Education

  • A completed university degree in Law, attested by a diploma, with a minimum duration of three years.

Experience

  • Preferably 3 years of recent experience in providing support in the area of project management, business product management and change management in the private or public sector;
  • Experience in organising trainings and creating training material (e.g. for class room trainings and e-learnings);
  • Recent experience in working environments that require high level of discretion and confidentiality;
  • Experience in working in an international multidisciplinary work environment, ideally within public sector. 

Skills & Knowledge

  • Competent user of document management systems or document- and records management systems as well as electronic workflows;
  • Have a thorough knowledge of English (at least C1 level), according to the Common European Framework of Reference for Languages;
  • Very good drafting skills and attention to detail;
  • Keen eye for detail with the ability to maintain standards of accuracy under pressure of tight deadlines;
  • Strong analytical and problem-solving skills including the ability to anticipate potential problems, determine and implement solutions;
  • Competent user of Microsoft Office applications (MS Word, Excel, PowerPoint and Outlook) and the internet;
  • High degree of commitment and flexibility;
  • High level of customer and service-orientation;
  • Good administrative and organisational skills;
  • Ability to act with discretion and confidentiality;
  • Ability to work well under pressure, both independently and in a team;
  • Very good interpersonal skills, including the ability to effectively liaise with other departments, groups and teams as well as with external partners;
  • Ability to work effectively in an international and multi-cultural environment.
