For the EU Agency, we are looking for a Procurement Assistant to support the Procurement Office!

What are you going to do?

Role summary:

The purpose of the post is to provide administrative and coordination support to Procurement Office across procedures, processes and daily operations. The duties of the role are performed under the supervision, including guidance and support, of a Temporary Agent (AD). The role does not imply managing or supervising human and budgetary resources. 

Standard role duties & responsibilities:

  • Support in coordinating the organisation's participation in inter-institutional procedures by ensuring internal communication, collecting and compiling input from various units, securing internal approvals, managing external communication, and maintaining internal records;
  • Assist in the ordering (of goods/services) processes by gathering technical input from units, compiling information, preparing request for offer forms and other standard documentation, coordinating approvals, handling internal and external correspondence, and facilitating offer assessment and contract preparation;
  • Provide support in asset sales processes by collecting technical input, compiling necessary documentation, preparing sale of assets forms, coordinating approvals, managing correspondence, and facilitating bid assessment and sale contract preparation;
  • Support daily tasks and ongoing projects through management of signature and approval workflows, document handling in the Document Management System, archiving, database updates, access management, drafting and formatting documents, organising meetings, data research, input collection, data compilation, overview preparation, and proofreading;
  • Contribute to recurring tasks such as reviewing files at the end of the retention period, organising and hosting regular meetings, managing shared mailboxes, updating files, responding to standard requests, and maintaining internal records;
  • Perform any other duties in the area of competence. 
What do we offer?

A fulltime, temporary 6 months contract from 1-12-2025 until 30-05-2026 (with possible extension of 6 months).

Salary range:

  • 4,812.17 gross per month/27,76 gross per hour (5 years of experience)
  • 5,444.73 gross per month /31,41 gross per hour (5 - 17 years of experience)
  • 6,970.17 gross per month /40,21 gross per hour (17 years of experience or more)

What do we ask?

Education

  • A level of education corresponding to completed university studies attested by a diploma (minimum 3 years).

OR

Professional training of an equivalent level, complemented by relevant professional experience as follows:

  • 6 months–1 year training → +3 years experience
  • 1–2 years training → +2 years experience
  • More than 2 years training → +1 year experience

Experience

  • Preferably 3 years of relevant work experience, including at least 1 year of recent experience related to public procurement.
  • Experience in environments requiring a high level of discretion and confidentiality.
  • Experience working in an international, multidisciplinary work environment.

Skills & Knowledge

  • Good knowledge (by training or experience) of the European Union public procurement rules; 
  • Excellent command of English (C1 level or higher).
  • Strong drafting, administrative, and organisational skills.
  • Eye for detail and accuracy, with the ability to meet tight deadlines.
  • Analytical and problem-solving mindset.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and general IT tools.
  • High level of commitment, flexibility, and service orientation.
  • Excellent interpersonal skills and the ability to liaise effectively with internal and external stakeholders.
  • Capacity to work independently, under pressure, and as part of a team.
  • Discretion and confidentiality are essential.
